Include the unit number, VIN, make and model, damage photos, vehicle dimensions and attached equipment. Distinguish new damage from existing damage.
Name the decision maker
Identify who can approve inspections, repair scope and changes. Share purchase-order or billing requirements and whether insurance is involved.
Plan around confirmed milestones
Explain the operating deadline and ask which dates can be confirmed. Discuss parts-dependent work, graphics, collection and the documentation required before the vehicle returns to use. No automatic priority booking is advertised.
